File Transfer in a Room

There are several ways to transfer a file in a room:

  • Drag-and-drop the file into the typing area, and wait.

  • Copy-and-paste the file into the typing area, and wait.

  • Drag-and-drop the file onto the File Transfer icon (the folder with two arrows in hotComm Standard/Pro), and wait.


In addition, hotComm Standard/Pro can transfer larger files independently to other hotComm Standard/Pro users. See File Transfer.

The file is available to all participants in the room, except for Java client limitations.

Size limitations apply, see the chart below.

Files are always compressed and encrypted for transfer.

Note: moderators can disable file transfers in their rooms, using the Session Control Toolbar.

Important! All hotComm file transfers are encrypted for privacy. Please respect Copyright Law when making file transfers.




How to transfer a file in a room

  1. Open My Computer, and navigate to the file you want to transfer.

  2. Click on the filename, drag it into the hotComm typing area or the Standard/Pro File Transfer icon, and release it.

    - or -

    Right-click on the filename, select Copy. Then, right-click in the hotComm typing area and select Paste.

  3. Wait while the file is transferred from your computer to the room's relay server and a link is posted in the transcript. Times may vary for different participants.

  4. The file opens automatically, or recipients click the link in the transcript to open the file and transfer it to their computers. The file is saved in their hotComm Uploads folder.

Note: Java clients only see files that open automatically. The files themselves are not saved automatically. Java clients cannot see files transferred through the Standard/Pro File Transfer icon.




Opening the file

The file appears as a link in the transcript, and may also open automatically. If it doesn't open automatically, recipients can open it by clicking the link.

The file is transferred into the recipient's Uploads folder when the file opens.

The file opens automatically if the room is a "moderated room" and the sender has moderator or presenter status (blue icon). Also, some file types (such as .JPG) open automatically.

If the file does not open automatically and the recipient does not click the link, the file is not transferred to them.

If the sender has disconnected from the room since they transferred the file, the file may no longer be available.

When the file opens, it behaves according to the recipient's Windows settings. Usually, the file is opened by the application associated with the file extension. For example, if Windows Media Player is associated with .WAV files, that is the program that opens .WAV files sent through hotComm.

To see your file associations:

  1. Open My Computer.
  2. Click the Tools menu and select Folder Options.
  3. In Folder Options, select the File Types tab.
  4. Scroll through the list on the top to see the applications associated with the file extensions.

When a file opens automatically, it opens in a hotWeb window.
